Components of a Formal Resignation Letter

  1. Address the letter to your direct supervisor or the appropriate person in HR.
  2. Start with a clear statement of your intention to resign.
  3. Include your last day of work, which is typically two weeks from the date you submit your letter.
  4. Briefly explain your reason for leaving. Keep it simple and positive. You might say you’re pursuing a new opportunity or focusing on personal goals. Related: Good Reasons for Leaving a Job [10 Examples]
  5. End with a thank you and an offer to help with the transition. You could say, “I’m grateful for the opportunities I’ve had here and I’m happy to help train my replacement.”

To show appreciation for your time at the company, you can mention specific things you’ve learned or enjoyed about your job. You might say, “I’ve grown so much as a professional thanks to your mentorship.”

If you’ve had a good relationship with your boss, consider adding a personal note. For example, “I’ve really enjoyed working with you and the team.”

Offering to stay in touch can be a nice touch. You could say, “I hope we can keep in contact, and please don’t hesitate to reach out if you need anything.”
