A weekly report communicates the progress, accomplishments, and issues encountered in a given week.

Part 1

Types of Weekly Reports:

  • Internship Weekly Report

    A report submitted by a student who is undergoing an on-the-job training, this particular type of weekly report accounts for all the activities of the student during the week (related to his practice). Detailed and precise, it describes what the student has been doing, how, why, and what he has learned. It also asks for electronic files or samples of what the intern is currently working on.
    Aside from describing the intern’s work during the reporting week, it also allows the intern to narrate his accomplishments and the issues he encountered and what he has learned. It also allows them to state how they were able to apply what they learned at the school to perform a task or solve a problem in the place where they have their internship.

    It is also through the weekly report that the intern can report any problems he encountered related to his internship to the school coordinator.

  • Marketing Weekly Report

    A weekly marketing report accounts for the performance of all activities related to the promotion of a service. A weekly marketing report gives an update on the performance of both inbound and outbound marketing efforts and whether these activities are driving sales. These weekly reports help ensure that there will be no breakdowns in the activities that will affect the progress.
    A report on inbound marketing activities involve a review of website traffic, blog traffic, and leads, while a review of outbound marketing activities includes taking a look at the figures generated through advertising, cold calling, direct mail. It also includes updates on the main marketing metrics such as, but not limited to, customer acquisition cost, customer lifetime value, marketing originated customer percentage, marketing influenced customer percentage, and other factors that may be identified by the company.

  • Weekly Sales Reports

    Weekly sales report helps gauge how a company is meeting its sales targets. It also provides an opportunity for the enterprise to see downward sales trends and resolve the issue timely. Weekly sales report also accounts for issues occurring weekly to let the company find a way to address them.
    Weekly sales report usually includes basic information such as the writing date, name of the department for which the sales report is being prepared, sales region, and a comparison of sales. Most importantly, weekly sales report should include an analysis of how sales performed for that week and the factors which contributed to the increase or decrease in sales.

  • Weekly Report of an Employee to Supervisor

    Accounting for tasks during the week, a company may require its employees to submit a weekly report to their supervisor. The said report may include a summary of the week’s activities, including the accomplishments and problems encountered, and the plans for the following week.

    A company may have a standard format for the weekly report to be used by the employees. It could be in the form of an email, a Word template, or it could be a collaboration tool like ProsperForms.

    When submitted to the supervisor, this report provides an overview of how the employee performed during the week without the need for him to constantly keep in touch with the employee.

    The weekly report enables supervisors and managers to maintain track of an employee’s progress and tasks during the week. It helps the supervisor and the staff to set performance targets and monitor whether these objectives are being met. It also allows the supervisor to see if his team needs coaching.

     

  • Weekly Report of the Project Team to the Stakeholders or Others

    Stakeholders are persons or group of individuals with interest in a project. The project team may be required to prepare a weekly report to these stakeholders. Other than that, they may also need to furnish other concerned departments within the organization of the same weekly report.

    The purpose of this type of weekly report is to provide information and updates to these individuals so that they will have an idea of where the project is at the moment and if the project and the team need assistance or intervention.
    This weekly report presents quantitative data which may be submitted in the tabular or graphical form.

    Its qualitative component includes an executive summary of a week’s work, risks, and objectives for the next week. The team may also report on project milestones reached and issues which the stakeholders may need to decide on.

    A weekly report for other departments within the organization may include the team’s request for assistance.

  • Weekly Expense Report

    A weekly expense report accounts for all expenditures made during the week. However, the contents of this report may vary depending on the purpose of the report. Therefore, it’s important to have knowledge of what the report is for and why the company needs it.
    For example, an employee who is on an official business trip may need to submit his weekly expenses report so he may claim reimbursement for such, or as a liquidation of the cash advance given to him for this journey.

    A construction project manager may also need to submit a weekly expenses report accounting for all the materials bought and other expenses made for the building project.

    A customer relations department may also prepare a weekly report of expenditures made in connection with entertaining guests or visitors of the company or organization.

  • Weekly Report on the Key Performance Indicators

    A weekly report on key performance indicators measures the performance of the business in certain areas of the firm. The KPIs are criteria used by the company to determine whether they are on the right path towards the fulfillment of their goals or if they are not meeting performance targets.
    It gives the company an idea whether things are going according to plan or if there are adjustments that they need to make in order to catch up, in case they are lagging behind.

    Prior to the creation of weekly KPIs report, the company or the team may need to decide on their key metrics to focus on, as a flurry of additional performance metrics may not really reflect the real status of the company. Choose only those which best reflect the company’s most crucial metrics.

How to Write Effective Weekly Reports

A weekly report is a short summary of what has been achieved in the past week. It can also include a list of tasks that have been completed or are planned for the next week. This is a regular report that we send to our management, executives and/or investors.

The objectives of a weekly report are to provide transparency, show progress and provide stakeholders with an update on the progress and highlight any potential challenges.

A successful weekly report should be well-written, concise, and easy to understand: clearly identify the purpose of the report, provide clear and concise explanations, and make sure to include all necessary information.

The following are some tips to help you write an effective weekly report:

  • Know the Purpose of the Weekly Report

    While weekly reports account for the activities for the week, it helps knowing why management wants this report. There are different purposes for a weekly report as much as there are different types of it.
    .
    An internship coordinator may need it to see how the intern is learning and showing progress. A store manager may need to submit weekly sales report to the main store to summarize the branch’s sales and logistics for the store such as orders, inventories, promos, price changes, and others.

  • Know Who Will Read the Weekly Report

    It simplifies the reporting process as the language, and the information which will be included in the report may already be determined once the readers of the report are identified. For example, if the report will be read by the legal department, there is no need to expound on the legal basis of the project. However, you must explain these things if the readers of the report consist of executives of the company. 

  • Present the Data and Information According to Its Importance

    It’s beneficial to prioritize the main points.

    Generally, the first part should be a summary, and following portions can provide an analysis of the figures.

  • Deliver the Report in a Compelling

    Create headings and subheadings that allow the readers to quickly scan sections and have an idea of what it’s about. Write in clear and simple sentences to demonstrate clarity and structure of thoughts.

    Use active verbs and avoid writing using passive voice. Make sure that the report has no errors and is free from jargon.

    Keep the report as short as possible. It should not exceed one page.
    Focus on the most important tasks and outcomes of the week.
    Write it in a way that is easy to read and understand – use bullet points or numbered lists to present your information clearly and concisely.
    Make sure that you include all relevant information – do not leave out any important details just because they are not related to your current project or task.
    Include any meetings, conferences, events, or other activities that took place during the week under “Other.”
