A weekly report communicates the progress, accomplishments, and issues encountered in a given week.

 

Part 1

Types of Weekly Reports:

  • Internship Weekly Report

    A report submitted by a student who is undergoing an on-the-job training, this particular type of weekly report accounts for all the activities of the student during the week related to his practice. Detailed and precise, it describes what the student has been doing, how, why, and what he has learned. It also asks for electronic files or samples of what the intern is currently working on.
    Aside from describing the intern’s work during the reporting week, it also allows the intern to narrate his accomplishments and the issues he encountered and what he has learned from those things. It also allows him to state how he was able to apply what he learned at the school to perform a task or solve a problem in the place where he has his internship.

  • Marketing Weekly Report

    A weekly marketing report accounts for the performance of all activities related to the promotion of a service. A weekly marketing report gives an update on the performance of both inbound and outbound marketing efforts and whether these activities are driving sales.  These weekly reports help ensure that there will be no breakdowns in the activities that will affect its month-to-date progress.
    A report on inbound marketing activities involve a review of website traffic, blog traffic, and leads, while a review of outbound marketing activities includes taking a look at the figures generated through advertising, cold calling, direct mail, and others. It also includes updates on the main marketing metrics such as, but not limited to, customer acquisition cost, customer lifetime value, marketing originated customer percentage, marketing influenced customer percentage, and other factors that may be identified by the company or organization.

  • Weekly Sales Reports

    Weekly sales report helps gauge how a company is meeting its sales targets. It also provides an opportunity for the enterprise to see downward sales trends and resolve it before it becomes too low which will definitely have an impact on the monthly or quarterly sales. Weekly sales report also accounts for issues occurring weekly to let the company find a way to address it.
    Weekly sales report usually includes basic information such as the writing date, name of the department for which the sales report is being prepared, sales region, and a comparison of sales between weeks.     This weekly report presents quantitative data which may be submitted in the tabular or graphical form.

    Its qualitative component includes an executive summary of a week’s work, risks, and objectives for the next week. The team may also report on project milestones reached and issues which the stakeholders may need to decide on.

  • Weekly Expense Report

    A weekly expense report accounts for all expenditures made during the week. However, the contents of this report may vary depending on the purpose why the report was made. Therefore, it’s important to have knowledge of what the report is for and why the company needs it.
    For example, an employee who is on an official business trip may need to submit his weekly expenses report so he may claim reimbursement for such or as a liquidation of the cash advance given to him for this journey.

A customer relations department may also prepare a weekly report of expenditures made in connection with entertaining guests or visitors of the company or organization.

    A weekly report on key performance indicators measures the performance of the business in certain areas of the firm. The KPIs are criteria used by the company to determine whether they are on the right path towards the fulfillment of their goals or if they are not meeting performance targets.
    It gives the company an idea whether things are going according to plan or if there are adjustments that they need to make in order to catch up, in case they are lagging behind.

    Prior to the creation of weekly KPIs report, the company or the team may need to decide on their key metrics to focus on, as a flurry of additional performance metrics may not really reflect the real status of the company. Choose only those which best reflect the company’s competitive advantage over the others and keep an eye on those things.

How to Write Effective Weekly Reports

  1. Know the Purpose of the Weekly Report

    While weekly reports account for the activities for the week, it helps knowing why management wants this report. There are different purposes for a weekly report as much as there are different types of it.

    An internship coordinator may need it to see how the intern is learning and showing progress. A store manager may need to submit weekly sales report to the main store to summarize the branch’s sales and logistics for the store such as orders, inventories, promos, price changes, and others.

  2. Know Who Will Read the Weekly Report

    It simplifies the reporting process as the language, and the information which will be included in the report may already be determined once the readers of the report are identified. For example, if the report will be read by the legal department, there is no need to expound on the legal basis of the project or the decision made. However, you must explain these things if the readers of the report consist of executives of the company.

  3. Present the Data and Information According to Its Importance

    It’s beneficial to prioritize the main points.

    Generally, the first part should be a summary, and following portions can provide an analysis of the figures.

  4. Deliver the Report in a Compelling

    Create headings and subheadings that allow the readers to quickly scan sections and have an idea of what it’s about. Write in clear and simple sentences to demonstrate clarity and structure of thoughts.

    Use active verbs and avoid writing using passive voice. Make sure that the report has no error and free from jargon and technical terms.

How to configure status reporting:

Step 1:

  • Create a “Weekly Status Report” feed and set up a recurrence.
  • Configure who will write and read reports by choosing the “Participants” tab and then clicking the “Cog” button near “Feed Participants” title.

Options:

  • Set the status feed as “Team-wide” if you want all team members to view each other’s status reports.
  • Alternatively, you can allow access to status reports for certain participants only (such as yourself if you’re a team lead). In this case, turn “Team-wide” mode OFF and restrict viewing by unchecking “View” properties for other participants. Team members with the “View” checkbox unchecked will only be able to view their own status reports.
  • If you’re a manager and you don’t plan to share your status reports with your team, uncheck “Update” for yourself – in this case, you won’t receive reminders to fill in this status report.
  • The Recurrence setting configures how often participants receive email reminders to fill in their status reports. This feature is optional and can be turned off.
  • You can add, remove, and assign new team members at any time.

Step 2: The text of the status update should be added to the “Update” field of status feed.

Data such as the report type, date and name will be added automatically.

As soon as a new status report is added, participants with “View” rights can view it in real time when they log in to their accounts. They will also automatically receive emails with the full text of status reports.

Step 3 (Optional): Generate a report and export it to PDF.
